Privacy Policy

From the contact form and follow-up communication we process:

• Identification data: first name and last name.
• Contact details: e-mail address, phone number (optional).
• Organisation data: company name (optional).
• Communication content: the text of your message and follow-up e-mails.
• Operational data: IP address and timestamp as part of standard hosting logs (Azure).

We process personal data exclusively for the following purposes:

• Handling your inquiry or question and the subsequent business communication.
• Internal record-keeping of communication with prospective and existing customers.
• Compliance with statutory obligations (in particular accounting and tax obligations related to ordered services).

We do not use the data for profiling or automated decision-making. We do not send marketing newsletters without your explicit consent.

Processing is based on:

• Your consent (Article 6(1)(a) GDPR), provided by submitting the contact form.
• Legitimate interest of the controller (Article 6(1)(f) GDPR) — handling a business inquiry and the related communication.
• Performance of a contract (Article 6(1)(b) GDPR) where our communication leads to a contractual relationship.
• Compliance with legal obligations (Article 6(1)(c) GDPR) — retention of records under accounting and tax law.

Data from the contact form is retained for the period necessary to handle your inquiry and for a further 12 months for any follow-up communication. If our communication leads to a business relationship, we retain the data for the duration of the contract and 10 years afterwards (statutory accounting period). After these periods, the data is deleted without undue delay.

We do not share your data with third parties except for the following categories of processors:

• Microsoft Corporation — cloud hosting of the website (Azure Static Web Apps, data centres in the EU, West Europe / North Europe regions). Microsoft is certified under EU GDPR.
• Microsoft Exchange Online — delivery of e-mail notifications about your message to info@softim.cz.
• External accounting and tax advisors — only to the extent strictly necessary for statutory obligations.

We do not transfer data outside the EU/EEA.

This website does not use marketing or tracking cookies. We also do not use analytics tools such as Google Analytics. Only strictly necessary technical cookies (e.g. language preference) may be present, for which no consent is required under § 89 of Czech Act No. 127/2005 Coll.

Under GDPR you have the right to:

• Access your personal data (obtain information about what data we process about you).
• Rectification of inaccurate or incomplete data.
• Erasure ("right to be forgotten") if the data is no longer needed for the purpose for which it was collected.
• Restriction of processing.
• Data portability in a structured, machine-readable format.
• Object to processing based on legitimate interest.
• Withdraw consent at any time with effect for the future.
• Lodge a complaint with the supervisory authority — Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Prague 7, www.uoou.cz.

Data is transmitted encrypted over HTTPS. Access to the info@softim.cz mailbox is restricted to authorised Softim.cz personnel. Hosting runs on Microsoft Azure in EU countries. We regularly assess security risks and maintain access in line with the principle of least privilege.

We may update this policy from time to time. The current version is always available on this page with its effective date. We announce material changes in advance on the website homepage.
